Our client, one of Canada's most respected and recognized organizations, is seeking an experienced Executive Assistant to support a Senior Managing Director within a fast-paced, professional, and collaborative environment.

This is an excellent opportunity for an Executive Assistant who enjoys providing high-level support to senior leadership while working alongside a collaborative team. The successful candidate will be proactive, highly organized, detail-oriented, and thrive in a traditional Executive Assistant role, taking ownership of executive support, anticipating needs, managing competing priorities, and ensuring day-to-day operations run seamlessly.

Key Responsibilities:

- Manage a complex and dynamic executive calendar, coordinating meetings across multiple stakeholders and time zones.
- Coordinate complex domestic and international travel, including flights, accommodations, itineraries, visas, and related logistics.
- Prepare presentations, briefing materials, reports, correspondence, and other executive documentation.
- Coordinate executive meetings, ensuring agendas, meeting materials, logistics, and follow-up actions are completed effectively.
- Anticipate executive needs, proactively resolve scheduling conflicts, and ensure priorities remain organized and on track.
- Process expenses while maintaining accurate records and supporting day-to-day administrative operations.
- Build strong relationships with internal and external stakeholders while handling confidential information with professionalism and discretion.
- Support departmental initiatives, projects, and events as required.

Qualifications:

- 3-5+ years of Executive Assistant experience supporting senior executives within a corporate environment.
- Demonstrated experience managing complex calendars, executive scheduling, travel coordination, meetings, and administrative priorities.
- Strong organizational, communication, and time management skills with the ability to manage multiple competing priorities.
- Proven ability to exercise sound judgment, maintain confidentiality, and build effective relationships with stakeholders at all levels.
- Advanced proficiency with Microsoft Office, including Outlook, Word, Excel, and PowerPoint.
- Experience within financial services, investment management, consulting, legal, professional services, or another fast-paced corporate environment is considered an asset.
