We are currently seeking a Legal Administrative Assistant/Receptionist to join our Pittsburgh, PA office. This in-office role offers an exciting opportunity to support a dynamic legal team while serving as the welcoming face of the firm.

The ideal candidate is organized, detail-oriented, and thrives in a professional environment. You’ll play a vital role in supporting attorneys and staff while ensuring a positive and polished client experience.

Responsibilities:

  • Serve as the first point of contact by answering and routing incoming telephone calls.
  • Greet and escort clients and visitors to meeting rooms.
  • Maintain attorney calendars, schedule meetings/appointments, and coordinate conference room use.
  • Open, sort, and distribute incoming mail; handle outgoing mail and package delivery.
  • Prepare and edit legal documents, correspondence, memoranda, and pleadings.
  • Transcribe dictation and format documents as needed.
  • Copy, scan, and fax documents efficiently and accurately.
  • Assist with the preparation and organization of legal files, including filing documents electronically with various courts.
  • Enter attorney time into Aderant timekeeping system.
  • Open and maintain client files in the firm’s records management system.
  • Prepare transmittal letters for monthly billing and assist with expense reporting.
  • Maintain updated contact information and prepare mailing lists for firm-sponsored events.

Qualifications:

  • Previous experience in a legal administrative or receptionist role preferred.
  • Excellent interpersonal and communication skills.
  • Strong organizational and multitasking abilities.
  • Proficient in Microsoft Office Suite; familiarity with Aderant and electronic filing systems is a plus.
  • High level of professionalism, confidentiality, and attention to detail.
  • Positive, team-oriented attitude with a commitment to client service.
