Position Overview:

We are seeking an experienced, highly polished Dental Office Manager to oversee the full scope of administrative and operational functions within our luxury dental practice. This leadership role requires an individual with deep dental industry knowledge, particularly in surgical and cosmetic procedures, and the ability to manage the day-to-day activities of the office while ensuring an outstanding patient experience.

 

 

The ideal candidate is fluent in Spanish, exceptionally organized, and brings a refined, articulate communication style. A strong sense of ownership, attention to detail, and high-level professionalism is essential.

Key Responsibilities:

  • Oversight of Practice Operations: Ensure the seamless, efficient, and high-standard daily functioning of the office, including patient care coordination, front desk operations, and clinical support workflow.

  • Managerial Duties: Lead, supervise, and support front office and auxiliary staff; conduct performance reviews; maintain morale and accountability.

  • Financial Administration: Oversee billing, collections, treatment planning, case presentation, and insurance coordination with a focus on accuracy and clarity.

  • Patient Experience: Serve as the first point of contact for VIP patients; manage expectations with warmth, discretion, and white-glove service.

  • Clinical Coordination: Work closely with clinical staff on complex procedures such as implants, Invisalign, and bone grafts; ensure efficient scheduling and case tracking.

  • Compliance & Standards: Maintain adherence to OSHA, HIPAA, and all regulatory protocols; implement and update practice policies and procedures.

  • Practice Development: Identify opportunities for process improvement, patient retention, and team performance; contribute to business growth through operational excellence.

Required Qualifications:

  • 5+ years of dental office management experience, preferably in a high-end or private practice setting

  • Bilingual in English and Spanish (required)

  • Strong clinical knowledge in dental procedures including implants, bone grafts, and Invisalign

  • Proven leadership and team management skills

  • Proficiency in dental practice management software (e.g., Dentrix, Eaglesoft)

  • Excellent written, verbal, and interpersonal communication skills

  • High attention to detail, organizational excellence, and professional presentation

  • Ability to maintain discretion, diplomacy, and patient trust at all times

Preferred Qualities:

  • Experience in luxury healthcare or boutique dental practices

  • Strong vocabulary and polished communication style

  • Self-starter with a solution-oriented mindset and a commitment to excellence
