Service Administrator – Mechanical Service

Greater STL Area

A well-established contractor is seeking a Service Administrator to join their growing service team. This role is perfect for someone who is detail-oriented, organized, and ready to support both financial operations and customer service within a fast-paced mechanical service department.

Key Responsibilities

  • Handle daily accounting functions, including invoicing, work orders, purchase orders, and job cost tracking.

  • Reconcile service-related financials and prepare reports for month-end close.

  • Monitor accounts receivable and follow up on outstanding payments.

  • Process vendor invoices and ensure proper coding and documentation.

  • Provide administrative support to service teams while ensuring accuracy and efficiency.

  • Deliver professional customer service by addressing client questions and resolving issues.

What We’re Looking For

  • 1+ years of experience in service administration, accounting, customer service, or related role.

  • Strong organizational skills with ability to manage multiple tasks and deadlines.

  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel, Teams, PowerPoint).

  • HVAC or mechanical industry knowledge is a plus, but not required.

  • Positive attitude, strong communication, and attention to detail.
